Your private information is important to us! The following is how we protect and use your personal information.
Personal information can be sensitive and we understand and respect how important that information is to all applicants and tenants alike. For these reasons and more, we utilize some of the most advanced technology for Internet security available today. Whether using our website, submitting a housing request, application or ultimately using your tenant portal, it is done so through HTTPS. When entering sensitive information, such as passwords and bank account numbers, they are encrypted using the industry standard TLS (Transport Layer Security) protocol, commonly called SSL (Secure Sockets Layer). This helps to ensure that your data is safe, secure, and available only to authorized users in our organization.
Builidum (the property management software RocRooms utilizes) stores customer data securely in the cloud utilizing Amazon Web Services or AWS. AWS is trusted by some of the largest companies and federal agencies in the world, and Buildium is working with the services provided by AWS to ensure your data is secure, utilizing advanced data encryption, hardened patched operating systems, firewalls, and world-class physical security help to prevent unauthorized access, maintain data accuracy, and ensure the appropriate use of customer data.
All data is stored with Amazon RDS Encryption, which ensures that everything is encrypted at rest, including the underlying storage for the database, as well as any data in backups or replicas. AWS data centers are housed in nondescript facilities. Physical access is strictly controlled both at the perimeter and at building ingress points by professional security staff utilizing video surveillance, intrusion detection systems, and other electronic means.
You can rest easy knowing that your data is safe, encrypted, and protected. Further, RocRooms has a policy of deleting applications within two years of the lease end date. Further, applications that do not turn into a lease are deleted after a period of two years of inactivity.
RocRooms does not give out any specific personal information without your approval, including landlord tenant verification forms. RocRooms will disclose only limited, general information on our current tenants to those applicants that have an approved application, which includes the following:

Once an applicant has been approved, RocRooms will disclose only the following information:

- Main Email Address on File
RocRooms will never give out specific, sensitive information such as a prior address, SSN or phone numbers.
